What to Write in the Description on an Invoice (With Examples)

Why Invoice Descriptions Matter

The description field on an invoice is more than administrative detail. It tells your client exactly what they are paying for, creates a paper trail if a dispute arises, and demonstrates professionalism. A good description removes any reason for a client to query the invoice before paying.

What Makes a Good Invoice Description?

A useful description answers three questions:

  • What was done?
  • When was it done (if relevant)?
  • What deliverable or result did it produce?
  • It should be specific enough to identify the work uniquely, but concise enough to read at a glance.

    Examples by Business Type

    Freelance Designer

    Weak: Graphic design services — $800 Strong: Logo design for ABC Retail — 3 concepts, 2 revision rounds — April 2025

    Web Developer

    Weak: Website work — $2,400 Strong: WordPress website build — 5-page site, contact form, mobile responsive — as per proposal ref: PROP-2025-012

    Copywriter

    Weak: Writing — $600 Strong: Website copy — Home, About, Services pages — 1,500 words — delivered 5 May 2025

    Consultant

    Weak: Consulting — $3,000 Strong: Business strategy workshop — full day, 3 attendees — 8 April 2025 — including written action plan

    Cleaner

    Weak: Cleaning service — $250 Strong: Commercial office clean — Level 2, 4,500 sq ft — weekly service, week ending 9 May 2025

    Tradesperson / Contractor

    Describing Hours-Based Work

    For time-billing, include the rate and the hours:

    "Brand strategy consulting — 6 hours at $150/hr — 28 April–2 May 2025"

    If the client approved the hours in advance or signed off on a timesheet, reference it:

    "Web development — 14 hours at $110/hr — as per approved timesheet TS-2025-008"

    Describing Product Sales

    For products, include quantity, unit, and a brief description:

    "Branded A5 notebooks — qty 200 — full colour cover print — $4.50 each"

    Referencing Previous Agreements

    When the invoice follows a quote, proposal, or contract, reference it:

    "Interior design consultation — Phase 1 discovery — as per quotation Q-2025-031"

    This single line prevents "I didn't agree to this" conversations.

    What NOT to Write

  • "Various services" — tells the client nothing
  • "As discussed" — no paper trail
  • "Invoice for work completed" — meaningless
  • Internal codes without explanation — the client doesn't know what WEB-DEV-PKG-3 means
  • The description should make sense to the client without any extra context. If they forward the invoice to accounts payable, that person should understand what it's for.

    Multi-Line Invoices

    For complex projects or multiple deliverables, use separate line items rather than cramming everything into one description:

    Line 1: Discovery and strategy workshop — $1,200

    Line 2: Brand identity design — logo, colour palette, typography guide — $2,400

    Line 3: Brand guidelines document — 20-page PDF — $800

    Total: $4,400

    Each line is clear, the breakdown justifies the total, and any query about a specific element can be addressed without disputing the whole invoice.
