What is Quotation Expert?
Quotation Expert is a free business management app for small businesses and freelancers. It lets you create professional invoices, quotations, purchase orders, delivery notes, receipts, and payslips — on both Android and the web. Your data syncs across devices in real time.
Is Quotation Expert really free?
Yes. The Free plan gives you 50 document entries per month with no credit card required and no expiry. Paid plans (Pro, Premium, Enterprise) unlock higher limits and advanced features like payroll, bank reconciliation, and purchase orders.
Do I need to create an account to use it?
You need a free account to save your documents, sync across devices, and access the web dashboard. Sign up takes under a minute with your email address or Google account — no credit card needed.
Does it work on mobile?
Yes. The Android app is available on Google Play and works fully offline — create and edit documents without an internet connection. Everything syncs automatically when you reconnect. A web dashboard is also available at dashboard.quotationexpert.com.

What are the differences between the plans?
The Free plan includes 50 entries/month. Pro ($9.99/mo) adds 250 entries, payroll, bank reconciliation, and email support. Premium ($29.99/mo) adds 1,000 entries, bank accounts, bank rules, and salesperson tracking. Enterprise ($49.99/mo) adds unlimited entries, purchase orders, bills, and expense management.
What counts as a document entry?
An entry is any document you create: invoice, quotation, proforma invoice, delivery note, purchase order, bill, or expense. The count resets at the start of each calendar month. Editing an existing document does not use an additional entry.
How does the 14-day free trial work?
Every paid plan starts with a 14-day free trial. You need to add a payment method to start, but you will not be charged until the trial ends. You can cancel at any time during the trial period with no charge.
Do you offer annual billing?
Yes. Annual plans include 2 months free — Pro costs $99.99/yr, Premium $299.99/yr, and Enterprise $499.99/yr. Switch to annual at any time from your account settings.
Can I upgrade or downgrade my plan?
Yes. Upgrade at any time and the new plan takes effect immediately. Downgrades take effect at the start of your next billing cycle. You will never lose access to your data when changing plans.
Can I cancel my subscription?
Yes, cancel any time from the Whop customer portal. Your plan stays active until the end of your current billing period. Your data is never deleted — you keep access to everything you have created.
What payment methods do you accept?
All major credit and debit cards (Visa, Mastercard, American Express) via Whop. All transactions are processed in USD.

Invoices & Quotations

How do I create an invoice?
Log in on web or open the Android app, tap "New Invoice", add your client and line items, set the due date and payment terms, then tap Export PDF to download or share. The whole process takes under two minutes.
Can I convert a quotation to an invoice?
Yes. Once a client accepts your quotation, open it and tap "Convert to Invoice". All line items, taxes, and client details carry over automatically. The original quotation is marked as converted and can no longer be edited.
Can I add my logo and business branding to invoices?
Yes. Upload your business logo once and it appears on every invoice, quotation, and delivery note. You can also set your business name, address, tax number, and custom payment terms.
Does Quotation Expert support VAT, GST, and other taxes?
Yes. You can set a global tax rate or apply different rates to individual line items. The app supports VAT (including UK 20%, UAE 5%), GST (India, Australia), sales tax, and any custom tax name and rate.
Can I invoice in foreign currencies?
Yes. Quotation Expert supports 135+ currencies. Set any currency per client or per invoice — the symbol and formatting are applied automatically.
How do I record a payment against an invoice?
Open the invoice and tap "Add Payment". Enter the amount, date, and payment method (cash, bank transfer, card, etc.). Partial payments are supported — the invoice status updates automatically to Partially Paid or Paid.

Features

Does Quotation Expert have payroll?
Yes, on Pro and above. You can add employees, set salaries, allowances, and deductions, then generate payslips as PDFs. Payroll is fully integrated with your profit and loss report.
Does it support purchase orders and bills?
Yes, on the Enterprise plan. Create purchase orders for your suppliers, track deliveries, and convert accepted POs to bills automatically. Bills are linked to your expense tracking and reports.
Can I track inventory?
Yes. Add products and services to your catalogue with stock quantities. Stock levels update automatically when you create invoices or delivery notes. Low-stock alerts are available in the app.
Does it generate profit and loss reports?
Yes. The reports section shows income, expenses, profit and loss, tax summaries, and sales by client or product. Reports can be filtered by date range and exported.
Can I add multiple businesses or profiles?
Yes. You can manage multiple business profiles under a single account — each with its own logo, tax settings, clients, and documents.
Does the app work offline?
Yes. The Android app is fully offline-capable. Create, edit, and view all your documents without an internet connection. Data syncs to the cloud automatically when connectivity is restored.

PDF & Sharing

How do I export a PDF invoice?
Open any invoice, quotation, or delivery note and tap the Export or Share button. A professionally formatted PDF is generated instantly. You can save it locally, share via WhatsApp, email it, or copy a link.
Are there watermarks on free plan PDFs?
No. All PDFs — on every plan including Free — are clean, professional documents with no watermarks.
Can I customise the PDF template?
Yes. You can set your logo, business details, custom colours, and footer text. More advanced template customisation is available on paid plans.

AI Features

What AI features does Quotation Expert offer?
Pro, Premium, and Enterprise plans include six AI features: AI Assistant (chat with your business data and generate documents), Document Scanner (OCR to extract fields from photos of documents), Payment Reminders (AI-written reminder emails for overdue invoices), Insights Digest (weekly business performance summary), AI Pricing Suggestions (optimal price recommendations based on your sales history), and Document Generation (create full documents from a single sentence).
Do I need my own AI API key?
Yes. You bring your own Claude (Anthropic) or OpenAI API key. Your key is encrypted and stored securely in your account — we never share it. This keeps AI costs transparent and gives you full control over which model you use.
Which AI plans support AI features?
All AI features are available on Pro, Premium, and Enterprise plans. They are not available on the Free plan.
How does the Document Scanner work?
Upload a photo (JPEG, PNG, or WebP, max 5 MB) of any invoice, quotation, or purchase order. The AI reads the image and extracts all fields — customer name, line items, prices, taxes — and pre-fills your form automatically. A confidence badge shows how accurate the extraction was.
How does the AI Assistant generate documents?
Type a plain-English instruction in the chat — for example, "Create an invoice for Acme Corp for 10 hours of web design at $150/hr." The assistant generates the full document and shows a Save button. Tap Save to store it directly in your dashboard.
What is the Insights Digest?
The Insights Digest analyses your recent business data — invoices collected, outstanding amounts, top customers, quotation conversion rate — and uses AI to produce a plain-English summary with alerts and recommendations. You can generate it on demand or receive it automatically every Monday by email.

Account & Data

Is my data safe?
Yes. All data is stored securely on Supabase (built on AWS), encrypted in transit and at rest. We never sell your data to third parties.
What happens to my data if I cancel?
Your data is never deleted when you cancel. You retain full access to everything you have created. If you downgrade to the Free plan, you can still view all existing documents — you just cannot create new ones beyond the free limit.
Can I import my existing data?
Yes. You can import customers and products from a CSV file. Invoice history import is available — contact support for assistance.
